It’s an entire digital asset management system with integrated AI processing, intelligent data capture, DMS software to manage documents, version tracking, high-tech security features, intuitive BPM, and Workflow Processing Software. Everyday business tasks like Purchase Order or Claims Processing are often manual, are prone to delays and errors and when derailed, they often create bigger problems. With GRM’s enterprise content management system, you can easily automate and streamline such processes. Our ECM tracks all users’ activities and document revisions as they are collaborated on in real-time, and proactively enhances the progression towards completion of critical tasks. The Future of Enterprise Content Management Systems. GRM has been in the business of developing ECM systems and document management software for more than 10 years. 30 years ago, we were the first document storage company to implement bar code tracking. In the 1990’s our customers already had online access. Our first DMS software a few years later allowed for intelligent document scanning and data classification. Designed for data capture it was one of the first DMS on the market with built-in document imaging and optical character recognition (OCR). Now, our ECM is an AI-driven enterprise content management system that extracts and processes unstructured data, even from legacy systems, and creates collaborative business workflows. We’re way past electronic signatures. It’s an ECM designed for continual optimization of business processes and on-the-go access, even on mobile devices. Our ECM optimizes your documents’ entire lifecycle. GRM is not just an enterprise content management system and document management software company. We offer an entire suite of document management services including document scanning, storage, and shredding. Our secure offsite document storage facility is located in Jersey City, New Jersey.

Retrieval Protocols for Legal Archives — cutting search time without custody risk
Lost hours don’t come from offsite storage — they come from bypassing protocol. Run requests through GRM eAccess for lookup, authorization, and tracking, and use Scan-on-Demand to produce a searchable copy while the original stays in secure storage.
Result: faster retrievals (days to hours) and documented chain of custody — helping reduce missed deadlines and recover billable time (when requests use eAccess and items are indexed and eligible for Scan-on-Demand).
Audit prep shouldn’t require weeks of chasing files or proving chain of custody. When records are scattered, retention is applied inconsistently, or the chain of custody is unclear, audits become stressful and costly.
An audit-ready approach solves this. Standardized indexing, consistent retention schedules, secure, off-site physical storage, and detailed access logs make records easy to retrieve — and defensible in an audit.
Thanks to everyone who stopped by the booth. Here are a few highlights from the event.

For law firms, delays in accessing records wastes time and reduces efficiency.
One litigation firm faced long retrieval times. Paralegals spent hours pulling records, which delayed attorneys and slowed case preparation.
With GRM:
✅ Records were indexed and securely stored
✅ Active case files were digitized
✅ Staff used eAccess to request physical records quickly
The outcome: faster retrieval, smoother case prep, and better client service.
From medical charts to microfilm, archives often span decades and formats.
Paper records fade. Microfilm deteriorates. Outdated equipment slows access. The result is costly storage, compliance gaps, and staff spending hours searching for information.
A smarter approach is structured and selective:
✅ Create a complete inventory of records
✅ Store assets in secure facilities
✅ Digitize where compliance or daily use demands it
This balance of storage and digitization helps organizations reduce risk, reclaim space, and improve access.

Turning paper into digital files is the beginning of the journey, but the challenge is managing those records over time.
If the digitizing of paper records is approached strategically, it improves access and streamlines processes. But, if scanning happens without policies or structure, it can lead to archives that are of questionable value.
A better approach combines scanning with records management best practices:
✅ Classify documents as they are digitized
✅ Apply metadata so records are searchable
✅ Manage retention and secure destruction with the same care as physical storage
